In the commercial cleaning industry, success isn’t just about the quality of the service; it’s about consistent accountability and proof of presence. Our client, a growing small business, faced a daily logistical hurdle what we solved by building an application using AppSheet.
The Challenge
The manager was stuck in a cycle of manual scheduling—texting shift details to a small team of employees and relying on workers to report their own arrival times and task completion. In a small-scale operation, every hour counts, and the lack of transparency led to disputes over hours worked and difficulty in verifying if specific, high-priority tasks were actually performed at remote locations.
The Solution
We kept the existing Google Sheets scheduling dashboard and built a custom AppSheet mobile application on top of it, creating a streamlined, two-part system for the manager and the field crew.
Automated Dispatch & Presence Proof
Instead of managing manual phone calls, the manager now updates a centralized Google Sheet. The AppSheet mobile app automatically generates a unique daily schedule for each worker. The system logs exactly when an employee arrives at a location and how much time they spend on-site, providing undeniable “presence proof” through GPS and timestamping.
Mandatory Compliance & Real-Time Sync
To ensure no detail is overlooked, we implemented mandatory checklists for recurring tasks. Workers cannot close a job until they have verified each requirement. If an unusual situation occurs on-site—such as property damage or a refill request—workers can submit an incident report with photographic evidence directly through the app.
Crucially, every update made in the field is synced immediately back to the manager’s Google Sheet, providing a real-time “bird’s-eye view” of the entire operation.
